As we are living in a information society, Information is very important for business

2. The function of Telephone Communication
Telephone Communication is fast information transferring, with low cost, and good
efficiency. Businessman using telephone to exchange information, to communicate,
to exchange information and ideas , to keep good relationship, to discuss business
plans, to solve business problems, to arrange business visiting, such as reserve hotel,
to book an air ticket ,etc.
3. We should master the following basic Telephone Communication Skills
such as:

Prompts for your reference
Try to let customers know much about your products and persuade them to
choose your products successfully:
1) The name and features of the product
2) The function of the product..
3) The size, shape of the product .

6) The after sales service of the product.
7) The sales position, reputation of the product.
8) Some other selling points or information about the product.

Topic 6: What is important when preparing an interview with a company?
Prompts for your reference:
Firstly, we should do preparation with “ Market- oriented “ ideas, to organize materials ,
introduce yourself and market yourself according to the job requirements.
1. Study the company carefully and understand the main situation of the company, like
history, main business scope, position in the market, etc.
2. Study the advertisement of the company and understand the requirements and the
responsibilities of the job position you are applying for clearly.
3. Prepare some necessary paper materials according to the company’ requests.
Such as:
1) Resume or Curriculum Vitae (C.V.)
2) Graduate Certificates (like College Diploma and Academic Degree)
3) Job Application Letter If they ask
4) Other Certificates:
A. The Technology Qualifications Certificate (like :CET4,CET6; Attestation
examination 认证考试for EBC or IT International Certificate, etc.)
B. The Occupational Qualification Certificate (such as: Certified International
Logistics Specialist ----CILS; Certified E-Business Specialist-----CES, etc.)
C. Honorary or Award Certificate ( such as; excellent student, prize fellow ,etc.)
D. Transcript (or school report if necessary )
E. Recommendation Letter (if necessary)
F. Certificate for internship
4. Prepare your self introduction according to job requirements
5. Prepare questions to answer accordingly
6. Learn some knowledge , etiquettes and skills for job interview.
Topic 7: What is your major responsibilities if you are a Secretary?
Attention:
You can also state the major responsibilities for any other job positions which
you are interested in.

(Generally job responsibilities will be given in Job AD like“ Job Description”)
I should say a secretary will have lots of works to do everyday, but its not very difficult .
Just some office routine works. For example: a secretary should:
1) arrange routine works for the manager,
such as meetings, interviews, appointments ,dinners with customers, working schedules;
2) check computer for emails or instructions from the manager,
such as to read ,sort and organize incoming mails
3) take care of letters :
type some business letters and collect some sales information for analysis.
4) To be responsible for keeping all the files in order ,
such as outgoing and incoming correspondence , invoices, receipts and product information
and other business documents.
5) One of his monthly duties is to take inventory of stock on hand and place orders for those
